Executive Assistant to Chairman and CEO

Position Summary

The Executive Assistant will work directly with CEO & Chairman and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.


  • Manage the CEO’s schedule including business matters, meetings with potential clients, existing clients, and members of the community at high levels
  • Coordinate executive communications, including taking calls, responding to e-mails and interfacing with clients
  • Maintaining Partners’ files with information pertaining to annual reviews
  • Reconcile credit card statements
  • Assist CEO with community involvement events
  • Maintain relationship with Public Relations liaison to prep CEO for speeches and panel discussions
  • Arrange corporate events to take place outside of the work place, such as sport events, fund-raising events, and galas
  • Assist in fundraising for several community organizations
  • Maintaining list for holiday gifts to existing and new clients
  • Responsible for business and personal correspondence
  • Responsible for coordinating daily travel schedule

Qualifications and Requirements

  • Minimum of 5+ years of experience as an Executive Assistant reporting directly to senior management
  • Ability to observe strict confidentiality of firm and personnel information
  • Required to independently assess what information must be kept confidential
  • Exceptional oral and verbal communication skills required
  • Ability to communicate effectively and tactfully with individuals at all levels within the Firm
  • Ability to work outside of working hours as needed
  • Excellent organizational skills required; ability to prioritize and work independently as required
  • Ability to work under pressure and meet deadlines
  • Attention to detail required
  • Demonstrated competency in MS Word, Excel & PowerPoint
  • Able to work independently and take initiative to proactively complete assignments
  • Ability to work with all levels for personnel and in a team environment required
